CAN I PRE-POPULATE FORMS BY MY DIVISIONS OR IS IT ONLY COMPANY-WIDE?

Division Specific Pre-Population

Pre-populating forms with essential information saves time, minimizes errors, and enhances the overall onboarding experience. Until now, this process was often seen as a company-wide solution. However, with the introduction of division specific pre-population, you have the flexibility to cater to the unique needs of each division.

To establish pre-populated information and avoid redundancy when creating an employee/user account or when approving individual forms in the system, follow these steps:

Step 1: Access the Administrator Dashboard

  • Begin by accessing the Administrator dashboard, which serves as the central control panel for managing various aspects of the system.

Step 2: Navigate to Pre-Populate Forms

  • From the Administrator dashboard, locate the Forms menu at the top of the page and click on it. In the dropdown list, select Pre-Populate Forms.

  • By default, the option "Company Wide" is selected. This indicates that the pre-populated information will apply to the entire company.

Step 3: Choose a Division

  • By default, the option "Company Wide" is selected. This indicates that the pre-populated information will apply to the entire company. To narrow down the pre-population to a specific division, use the Select Division dropdown menu. This allows you to choose the division you want to target.

Step 4: Select a Form

  • To select an individual form to pre-populate, click on the "Choose a Form" dropdown menu. Here, you can select the form you wish to pre-populate.

  • If the questions asked when creating a new employee/user account need to be setup with pre-populated information, all questions at this point in the onboarding process are listed under -2 - Front End Questions.

  • The list of available forms includes those relevant to the chosen division.

Step 5: Saved as you Go

  • As you navigate through setting up pre-populated information, the system automatically saves your progress as you go.

Step 6: Confirm Changes

  • After adding information to the Pre-Populate Forms page, either refresh your page or log out and back into the system. From the Administrator dashboard, locate the Forms menu at the top of the page and click on it. In the dropdown list, select Pre-Populate Forms.

  • Again, select the division and form. Scroll to the fields that had information entered and ensure the proper information is reflected.
